Executive Assistant

  • Collaborated directly with the President, the COO, and the CMO (located on the West Coast) to schedule and plan meetings, off-site events, and conference attendances (including JP Morgan)

  • Ascertained and memorized travel preferences, dietary restrictions, communication proclivities, and personal obligations of executives; designed, adapted, and relayed itineraries with respect for both balance and efficiency for each exec

  • Ensured that all biographical information for speaking engagements was provided to relevant parties, slide shows were coherent and polished prior to presentation time, and executive credit cards and electronic signatures were properly used for all transactions and correspondence

  • Collected and entered receipt data to submit accurate and timely expense reports on behalf of executives and directors

  • Worked with board members' assistants to schedule and coordinate Board of Directors meetings up to three years in advance

Office Manager

  • Managed daily office operations and optimized physical conditions to boost efficiency, including organizing and overseeing the transition to a larger office space

  • Trained new hires on office policies and guidelines, company software and intranet, and resources

  • Collaborated with management and HR to meet the needs of incoming staff and ordered all necessary supplies for general operations

  • Developed, implemented, and maintained innovative digital filing systems which were intuitive and accessible across all departments

  • Established and maintained meaningful relationships with vendors while ensuring operations stayed within budget parameters

  • Encouraged and arranged for team attendance at events within the CIC, where the company was headquartered, in order to make best use of the workspace by fostering a culture of intra- and interoffice communication and collaboration
